Understand how DS-Mate handles order fulfillment, from placing orders with suppliers to uploading tracking numbers to your store.

1How Fulfillment Works

When a customer places an order on your store, DS-Mate identifies the linked supplier product and facilitates the fulfillment process. For users on Starter and Growth plans, fulfillment is streamlined with service credits that cover supplier costs, up to each plan's monthly order cap. Pay-As-You-Go has no monthly cap, and every order deducts a flat per-order fee from your service-credit balance instead. Free plan users fulfill manually through a secure Stripe checkout flow, using the DS-Mate supplier only (own supplier accounts are not available on Free).

2Fulfillment Statuses

Each order tracks two levels of fulfillment status. The platform status reflects what your sales channel reports (Unfulfilled, Partially Fulfilled, Fulfilled, Delivered). The DS-Mate internal status tracks the supplier-side progress (Pending, Processing, Shipped, Delivered, Failed, Price Changed). Both are visible in the orders table for complete visibility.

3Tracking Number Updates

Once your supplier ships the order and provides a tracking number, DS-Mate automatically syncs that tracking information back to your store. Your customers receive shipping notifications through your sales channel, reducing 'Where is my order?' support inquiries.

4Handling Fulfillment Issues

If a fulfillment fails or a supplier price changes, DS-Mate flags the affected order with a clear status indicator. You can review the issue in the order details and take action, whether that means retrying the fulfillment, contacting the supplier, or processing a return.
